At Prenato, we are committed to protecting the confidentiality and security of our clients’ personal information (hereinafter “PI”). This privacy policy explains how we collect, store, use and protect your PI, in accordance with applicable laws and regulations.
HOW WE COLLECT AND STORE YOUR PERSONAL INFORMATION
We use various methods to collect your PI, including online forms, paper forms, emails, and telephone or in-person conversations and consultations, among others.We use information and communication technologies to collect and store your PI in accordance with the laws in force in Quebec. In particular, we use software that requires personalized access codes.Despite all the security measures in place, no mechanism can guarantee complete protection of information.
PERSONAL INFORMATION WE COLLECT
We collect your PI in order to provide you with medical services, respond to your requests for information and, where you have consented, send you our communications.
This may include:
Identification information: last name, first name, Quebec health insurance number, mailing address, email address, phone number
Financial and insurance information: credit card information, insurance company
Health information: weight, height, sex, age, medical history, medical results, medical forms, imaging
Information about the services you are interested in, particularly when you fill out an online form
Your communication preferences: the types of communications you agree to receive from us
HOW WE USE YOUR INFORMATION
We use your PI to, among other things:
Facilitate appointment scheduling and provide the requested services
Maintain and update your health information
Carry out medical follow-ups, send appointment reminders or conduct satisfaction surveys
Manage billing and process payments
Verify whether our services are covered by your insurance plan and provide you with the pricing information you requested
Send you the communications you have consented to, such as our newsletter. You may withdraw this consent at any time without affecting the services we provide to you.Your PI may be used, in anonymized form, to improve our services and for training purposes.
WHO HAS ACCESS TO PERSONAL INFORMATION
The following people may have access to your PI:Employees of our company who need your PI to perform their duties and who have signed a confidentiality agreement regarding client PI.Certain medical partners and service providers may access your PI for medical follow-up or laboratory analysis purposes.
They are subject to the applicable confidentiality and security obligations.Certain technology service providers, particularly for data hosting, customer relationship management and sending our communications, as well as the agency that supports us with marketing, may access some of your PI only to the extent necessary to carry out their mandate. These providers are bound by confidentiality and security commitments.Depending on the services chosen, some PI may be transferred outside Quebec.Prenato is committed to never giving, selling or renting your PI to third parties. We only transfer your PI with your consent, when required by law, or in the event of serious harm.

RETENTION PERIOD FOR YOUR PERSONAL INFORMATION
Your PI is retained for the period prescribed by the laws and regulations applicable to medical records. At the end of this period, where destroying the record is not possible due to the functionality of the medical software used, the record remains securely stored and access to it is limited to authorized persons.
RIGHT TO ACCESS AND CORRECT YOUR PERSONAL INFORMATION
You have the right to access your PI and to request that it be corrected if it is inaccurate. You may also withdraw your consent to the collection or use of your PI, where permitted by law. However, such withdrawal may prevent us from offering you certain services.You may obtain a copy of your medical record by submitting a request for access to your personal information, in accordance with the procedures set out in the applicable legislation. Certain conditions apply.Withdrawing your consent or requesting the deletion of your information cannot require us to destroy information that we are required to retain under a legal, regulatory or professional obligation.
